Who is responsible for your information

THEOR-E Inc. is the organization accountable for the personal information collected through this website (the controller under European law). Alexandre Lemyre, founder of THEOR-E, is the person in charge of the protection of personal information. What we collect

This website has three forms. We do not buy lists or scrape profiles. The waitlist, on the home page, asks for your first name, your email address and, if you wish, a few words about what matters most to you. It also records the language of the page you used, that you ticked the box agreeing to emails, and the date of that consent. A copy of the signup is emailed to our team mailbox, and your address is added to the waitlist in our email provider. We then send you a confirmation or welcome email. The contact form, on the contact page, asks for your name, your email address and your message, and is emailed only to our team mailbox. The researchers feedback form, on the researchers page, asks for your comments about that offer, and optionally your name and email if you want a reply; it is also emailed only to our team mailbox.

If you book a call from the researchers page, you leave this website and complete Microsoft's booking page. Microsoft then sends us the details you entered (typically your name, email and the time you chose) so we can meet with you.

The optional waitlist question, the contact message and the researchers feedback field are free text. Share only what you're comfortable sharing, or leave optional fields blank. Please do not include health information, diagnoses or other medical details. This website is a company site, not a care service, and those fields are not meant to hold that kind of information. Beyond the forms, this website requires no account. Like any website, our hosting provider keeps standard server logs (your IP address, the browser you used, the pages requested and the time) for security and to keep the site running. When we email the waitlist, our email provider also records whether each message was delivered, opened or a link was clicked. If you click through to Online-Therapy.com, we also send Meta the click details described under Measuring our ads.

How we use it, and why we are allowed to

Your contact message is used for one thing: to answer you. Feedback left on the researchers page is used to improve that offer; we reply only if you leave an email address. A booking is used only to hold the call you asked for. Your waitlist information is used to send you occasional updates about THEOR-E, because you agreed to receive them. When we email you, our email provider records whether the message was delivered, opened or a link was clicked, so we can see if our emails arrive.

We do not sell your information. We do not share waitlist, contact, or booking details with anyone for their own marketing. We do not show ads on this website, and no decision about you is made by automated means. The one advertising use is the continue-click on the Online-Therapy.com page, described under Measuring our ads. We do not sell personal information as California law defines that word. That continue-click is a disclosure to Meta so we can measure our own ads.

Under European law we need a legal basis for each use. The waitlist, including the emails we send you and the record of whether they arrived, were opened or were clicked, runs on your consent: you tick the box, and you can withdraw that consent at any time. The continue-click measurement on the Online-Therapy.com page also runs on your consent: you choose to continue, and you can refuse by not clicking, by adding ?meta=0 to the address, or by using a browser that sends the Global Privacy Control signal. Answering a contact or feedback message, holding a booked call, and keeping server logs for security are done because we have a legitimate interest in running this website and responding to people who write to us, and those interests do not override your rights. If you later ask us to do work for you, we may also need your details to take steps at your request before a contract.

Sensitive information

We do not ask for health information, government identifiers or other sensitive personal information on this website. If you type something sensitive into a free-text field anyway, we will treat it with extra care, use it only to handle that message, and delete it when that purpose ends. Please prefer not to send it.

Cookies

This website does not set analytics or advertising cookies as you browse, and it loads no third-party trackers on load. Even its fonts are served from our own domain. The one exception is the Online-Therapy.com page. If you click through to that partner, we then load Meta's pixel so we can measure the click, and Meta may set a cookie at that moment. A link that merely sits on the page is not a tracker. There is no cookie banner for ordinary browsing, because that click is the moment we ask. If you do not click through, nothing is sent to Meta.

Measuring our ads

This happens only on the Online-Therapy.com page, and only if you click through. We then load Meta's measurement tool (the Meta Pixel) and send a click event: that you clicked, the page you were on, the kind of browser you used, and, if you arrived from one of our Facebook or Instagram ads, the click identifier those ads already attached to the address. We do not send your name, your email, or anything you type. We use that event to see whether our ads led to a click, and to find people more likely to continue. Meta Platforms, Inc. receives the event. Their notice is at facebook.com/privacy/policy. If you do not want that event sent, do not click through, add ?meta=0 to the address, or use a browser that sends the Global Privacy Control signal. You can also write to us.

Who handles it for us

Four service providers process your information on our instructions. Hostinger hosts this website, its forms and the server logs. Brevo delivers our emails and stores the waitlist. Microsoft hosts our team mailbox (info@theor-e.com), where form submissions arrive, and provides the booking page if you schedule a call. Meta Platforms, Inc. receives the continue-click event described under Measuring our ads, and only then. Each is bound by contract to protect your information and to use it only to provide its service to us, except that Meta uses the click event to measure and deliver our ads. We remain responsible for it.

Links that leave this website

Some pages link to other organizations: an affiliate page for Online-Therapy.com, an independent directory of iCBT programs, LinkedIn, ResearchGate, and Microsoft Bookings. Those sites have their own privacy notices. We do not receive your account or payment details from them.

If you join Online-Therapy.com through the link on this website, THEOR-E may earn a commission. The link tells that partner you came from our page. That is not a sale of your personal information by us, and we do not send them your name or email.

Where it is stored

Some of your information leaves Québec. Brevo holds the waitlist on servers in the European Union. Microsoft holds our team mailbox in Canada. Hostinger hosts this website in the United States, and keeps backups there. If you click through to Online-Therapy.com, Meta receives that click event on servers in the United States.

Québec law requires us, before personal information is communicated outside Québec, to check that it will receive adequate protection there. We do that by using only providers whose contracts require them to protect the information and to use it only for us. We remain accountable for it under Canadian law wherever it is stored. For people in the European Economic Area or the United Kingdom, transfers rely on an adequacy decision where one exists (Canada has one for commercial organizations) or on the provider's standard contractual clauses or another approved mechanism.

How long we keep it

We keep a contact message, a researchers feedback note or a booking record for up to 24 months after we have finished handling it, then we delete it, unless we need it longer to meet a legal obligation or resolve a dispute. We keep your waitlist information, including whether emails to you were delivered, opened or clicked, until you unsubscribe, you ask us to delete it, or the waitlist itself is retired. Server logs are kept only as long as they are useful for security, typically no more than 90 days. Information that is no longer needed is deleted.

Notice for California residents

In the last 12 months we have collected these categories of personal information: identifiers (name and email address); customer records (messages, waitlist answers and booking details); and internet activity (server logs, whether our emails were delivered, opened or clicked, and, if you click through to Online-Therapy.com, that continue-click). We collect them from you, or automatically from your device or our email provider. We use them only for the purposes in this notice. We do not sell them. We disclose the continue-click to Meta so we can measure our ads. We keep each category for the periods stated under How long we keep it.

Your choices and rights

Every email we send to the waitlist carries an unsubscribe link, and it takes effect immediately, no explanation needed. You can also withdraw your consent at any time by writing to us. Withdrawing consent does not affect anything we already sent you lawfully.

Wherever you live, you can ask us what personal information we hold about you, ask us to correct it if it is wrong, and ask us to delete it. Write to info@theor-e.com from the address you used with us. We may need to confirm it is you before we act, so we do not hand your information to the wrong person. We will respond within 30 days.

If you are in the European Economic Area or the United Kingdom, you also have the right to restrict or object to certain processing, to receive the information you gave us in a portable format, and to complain to your local data protection authority (in the UK, the Information Commissioner's Office).

If you are a California resident, you have the right to know the categories of personal information we collected about you in the last 12 months, the sources, the purposes, and the categories of third parties we disclosed it to; to correct it; to delete it; to opt out of sharing for cross-context advertising; and not to be discriminated against for exercising those rights. The continue-click on the Online-Therapy.com page is the only disclosure of that kind. You can refuse it with ?meta=0, with Global Privacy Control, or by writing to us. We do not use sensitive personal information in a way that requires a separate limit request. You may use an authorized agent; we will still need to verify the request is yours.

If our answer does not satisfy you, you can complain to the Commission d'accès à l'information du Québec, to the Office of the Privacy Commissioner of Canada, to your European or UK authority, or, in California, to the California Privacy Protection Agency or the California Attorney General.

How we protect it

This website is served over an encrypted connection (HTTPS), access to the mailbox, the bookings and the waitlist is limited to the people who need it for their work, and our providers maintain their own certified safeguards. No transmission over the internet is perfectly secure, but we treat your information with the care we would want for our own.

Children

This website is intended for adults. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us theirs, write to us and we will delete it.

Changes to this notice

When our practices change, we update this page and revise the date at the top. If a change meaningfully affects the waitlist, we also say so in the next email we send.
